Find and upload documents

See where documents are kept for properties, units, leases and tenants, and upload or remove files.

Where documents live

Each document is attached to what it belongs to, such as a property, unit, lease, tenant, company, vendor, piece of equipment or maintenance request. Open that item's page to see its documents. Where it's offered, choose Add Document to upload a new one.

The Documents page

On the web, Documents lists every document on the account. It shows each file's type, what it's attached to, its size and the date it was added. Use the Type filter to narrow the list. Files you upload from the Documents page itself with Add Document are saved to My Files.

File types and titles

You can upload PDF, DOC, DOCX, XLS and XLSX files of up to 25 MB each, and JPG or PNG photos of up to 10 MB each. You can give a document a title, which is shown in place of the file name.

Document names

A property, unit or lease document that has no name of its own is named after what it is, where and when, such as Lease - Unit A - Oct 2026. For a lease the date is the lease start month; for other documents it is the month of the upload. For a single-dwelling home, the property name takes the place of the unit. If you type a name, KeyRing keeps it. A name that is only the phone's file name, such as IMG_1234.jpg, is replaced by the default name, and the original file name stays on record. Names can be up to 150 characters.

Rename a document

Owners, co-owners and property managers can rename property, unit and lease documents. On the web, choose Rename next to the document on the property, unit or lease page, edit the Document name and save. On the mobile app, tap the pencil on the document row, edit the name and tap Save. The file extension stays as it is, and a name cannot be left empty. Renaming changes the name shown in the list; the file itself is unchanged.

Lease documents

Upload the signed Lease Agreement when you add a lease, or add it later from the lease page. The tenant receives a copy by email when it is attached. The lease page lists them under Linked documents. Move-in and move-out checklists you attach are kept as documents too.

Documents for tenants

Tenants open Documents to see My home and documents. It shows their property and unit, their property owner's details and their files. Tenants can upload and delete their own documents. A prospective tenant can view documents but can't upload them.

Delete a document

Not every document can be deleted. Where Delete is offered next to a document, choose it and confirm. Deleting a document can't be undone.
