Team members and roles

Invite co-owners, property managers, maintenance staff and accountants, and see what each role can do.

Invite a team member

On the web, open Team and choose Invite Member. Enter the First name, Last name and Email Address, and a Phone Number if you like. Choose a User Role, then choose Property Access for the properties they can work on. Tick Send email invitation to email them now. You can send or resend the invitation later from their page with Send Invitation or Resend Invitation. A member can be Active, Invited, Inactive or Blocked.

Who can invite whom

You can only invite roles below your own. Owners can invite co-owners, property managers, maintenance staff and accountants. Co-owners can invite property managers and maintenance staff, but not other co-owners or accountants. Property managers can invite maintenance staff, but not co-owners, other property managers or accountants. Only the owner can invite accountants. Tenants are added from Tenants, and vendors from Vendors.

Property owner

The owner holds the account and sees everything, including Company Management, Banks & Cards and Subscription. Only the owner manages billing and can delete a property.

Co-owner

Co-owners manage tenants, leases and maintenance. They add and change rent, payment and expense records, approve vendor estimates, review vendor bills and mark them paid, and record equipment service. They don't see Company Management or Banks & Cards.

Property manager

Property managers have the same day-to-day access as co-owners at the properties they're given. They don't see Company Management or Banks & Cards.

Accountant

Accountants can view rent, payment and expense records at the properties they're given. They can view vendor bills and equipment service history. On the web they see Properties, Leases, Payments and Documents. Accountants use the web portal, because the mobile app doesn't offer this account type yet.

Maintenance

Maintenance staff work the requests assigned to them. They can accept, start and complete work, or bring in a vendor. They can view equipment service history and use the calendar. Rent and payments are hidden. On the web they see Maintenance and Documents.

Vendor and tenant

Vendors see only the jobs assigned to them, under My jobs, plus Documents. Tenants see My lease, Payments, Maintenance and Documents for their own lease.

Property access

Each team member sees only the properties you give them. To see who works on a property, open its team page. It groups people as Co-Owners, Property Manager, Maintenance and Accountant.
